Free Baby Budget Worksheet (Printable PDF, Excel & Sheets)

A baby budget worksheet helps you list one-time costs, estimate new monthly costs, plan for lower income during parental leave, and work out how much to save before the due date. This free worksheet comes as a printable PDF and a spreadsheet with built-in formulas for Excel or Google Sheets.

To use the Google Sheets version, upload the .xlsx to Google Drive and choose File > Save as Google Sheets, or open the shared link and choose File > Make a copy. [EDIT once you upload: if you publish a Google Sheet link, use that wording instead.]

What Is Inside the Worksheet?

TabWhat it does
Start HereExplains each tab and the colour guide
1 Before BabyLists one-time costs (birth, gear, prep), adds your leave income gap and a cushion, and shows the monthly saving needed
2 Monthly CostsEstimates diapers, feeding, childcare, health and household costs and shows your new monthly total
3 Leave IncomeCalculates the pay gap during parental leave
4 Budget CheckShows how needs, wants and savings change with a baby, using the 50/30/20 rule

Blue cells are for your own numbers; black cells are formulas. All amounts are left empty, because prices vary a lot by location, insurance and childcare choice.

How to Use the Baby Budget Worksheet

  1. Tab 3 first: enter your normal take-home pay, your income during leave, and the months of leave. The tab gives the income gap.
  2. Tab 1: list one-time costs. Ask your insurer for your out-of-pocket maximum. The gap from tab 3 flows in automatically. Add a cushion and enter the months until the due date.
  3. Tab 2: estimate monthly baby costs. See whether you have money left over or a shortfall each month.
  4. Tab 4: check how your needs, wants and savings split looks. Many families temporarily shift toward 60/20/20.
  5. Review every few months. Real costs will differ from your estimates.

Worked Example (illustrative numbers only)

ItemAmount
One-time costs (medical + gear)$4,500
Leave income gap: ($4,000 − $2,400) × 3 months$4,800
Cushion$700
Total savings goal$10,000
Months until due date9
Monthly saving neededabout $1,111

If that is too high, lengthen the timeline, cut gear costs by buying used, or reduce the cushion. See the full walkthrough in our guide, How to Budget for a Baby.
